Migrate to the new version of Sitepass

In March 2020 a new version of Sitepass (version 3) was released to market that evolved Sitepass’s unique capabilities that our customers have used to manage their workforce. Importantly we listened to our customer feedback, and in developing a new version we introduced improvements to the user experience, security, performance and added new features our customers have been requesting to make workforce management even easier.   

We are pleased to announce that we have developed a tool that enables our existing customers to migrate to the new version of Sitepass.  The tool provides a seamless way to migrate to the new version, ensuring that all the information, users, forms, configuration, and training records captured in Sitepass version 2 are transferred with the lowest impact to your business.

The new Sitepass experience

Sitepass version 3 is a completely new version of Sitepass, built from the ground up to provide a platform for organisations of any size to manage the compliance of their entire workforce.  The new version enables suppliers to connect to multiple hiring clients through a single platform, linking together not just organisations, but the individuals that do the job too.

We'll help support you with migration

Your assigned customer success manager will work with you and your team to plan and manage the migration to the new version of Sitepass.  A migration plan will be created that will be tailored to your business needs, current setup, and will build into a rollout strategy for your business.  The migration plan will consider the following areas:

  • Required product demos and training
  • Migration of your current setup, data and forms to a test environment to review and be able to experience the new version.
  • Discuss and review the product differences and suitability for migration
  • Plan the upgrades to your configuration and online training.
  • Assist with defining rollout plans, such as communication or training needed for your team and end users
  • Plan the go live activities, including documentation and hyper care support.

Yes! Please get in contact with your customer success manager to organise a product demonstration. To assist with migration conversations, we will tailor the demonstration to align to your current setup of Sitepass.

We have done the heavy lifting, so you don’t have to and the migration tool that will allow us to lift and shift all your information with least impact to your business. The information that can be migrated includes the following:

  • Contractors - Business details, business logo, workflow step status, step data (custom forms and insurance records), and selected categories.
  • Workers - Account details, profile photo, workflow step status, step data (custom forms and licences records), selected categories, and induction training records.
  • Administrators - Account details, profile photo
  • Settings – Forms (includes licenses, insurances, and custom forms), workflow steps, categories for workers and contractors.

All version 2 customers will be able to access the version 3 under the current contract and listed pricing and terms and conditions. If there are cost benefits to move to the new pricing model this will be explored as part of the migration planning activities.

No, not at all. You can keep using version 2 if you prefer. We do not have any plans to shut it down. There are many benefits to migrating to the version 3, and we would love to explore these with you.

All customers can remain on Sitepass version 2 until the time is right to migrate to the new product. Sitepass version 3 provides a range of new features that all customers will benefit from, and a demonstration can be provided to assess the suitability to migrate.

No. The Sitepass team will assist all Sitepass version 2 customers with migration and no fees will be incurred to migrate to the new product.

Not at this stage. Your assigned customer success manager (CSM) will be able to assist with the migration to the new version. Your CSM who will design a migration plan that is tailored to your current setup of Sitepass, and will assist with the data migration, training, and any necessary configuration changes.

Yes. Migrating to version 3 provides a good opportunity to review and update your settings, issue up-to-date training, and improve your forms and workflows. Any changes to your setup will be explored as part of the migration planning.

Yes. The migration tool provides control over what information and settings are migrated to version 3. Speak to your customer success manager who will provide you with a demonstration of the migration tool and the options.

Approximately 2 - 4 weeks. The timeframes for migration will vary and depend on the complexity of your configuration, number of users, and the time required for testing/ exploring the new product. A migration plan will be created that will outline timeframes, dependencies, and considerations for your migration project.

Yes. We have setup dedicated infrastructure that will allow us to migrate your data into a test environment first. This provides you access to experience the new platform, review your data migrated, and plan any configuration changes needed before making the new product live.

Yes. System administrators will be able to access Sitepass version 2 after being migrated in order to access historical data and reports. General staff and contractors will not be able to access Sitepass 2 once migration has been completed.

Yes, your input to our roadmap is important to us and we will be able to take our existing customers through our roadmap and future for Sitepass.

Yes. There is unlimited use of the VMS to deploy it to all sites across your business and track sign-ins activity per site. Sitepass ensures that you can monitor the safety of everyone across your entire organisation. Click here to read more about the new version management system.
